Waiting list and guest approval
You can limit the number of spots and decide yourself who comes. When the spots run out, people sign up for the waiting list, and Mybzz moves them up by itself when someone drops out.
How it works
Two settings in the event form decide how sign-ups work: “Capacity” (from 1 to 10,000 or unlimited) and “Require approval”. Mybzz first checks whether there are spots, and only then whether approval is needed:
- Free spots, no approval - the guest gets a spot and a ticket straight away.
- Free spots, with approval - the guest waits for your decision (“Waiting for approval”).
- No spots - the guest goes onto the waiting list, even if the event requires approval.
When a person on the list gets a spot
- When someone with a confirmed spot drops out - the first person on the list (the one waiting longest) gets the spot and an email with the ticket. If the event requires approval, they go to the people waiting for your decision.
- When you increase the “Capacity” in the event edit - the matching number of people from the list get spots straight away, with an email and a notification.
- When you click “Promote” next to a person on the list in the “Guests” tab.
Approving guests step by step
On mybzz.com
- Open the event and click “Manage Event”.
- Go to the “Guests” tab.
- Choose the “Waiting for approval” or “Waitlist” filter.
- Next to a person click “Approve”, “Reject” or (on the waiting list) “Promote”.
- If the event is full and you want to accept someone, you will see “Event is at full capacity” - “Approve anyway” increases the spot limit by 1.
In the app (Android and iPhone)
- Open your event and go to managing it.
- Go to the guest list and choose those waiting for approval or the waiting list.
- Approve, reject or promote a person.
What the guest sees
- With approval: “Waiting for Approval”, and after the decision an email with the ticket or the message “Registration Rejected”.
- When the event is full: “Event Full” and the “Join Waiting List” button.
- An approved guest gets an email with the ticket and a push notification, a rejected one - an email.
Good to know
- Only the event creator can approve, reject and promote guests - co-organisers cannot.
- A rejected person cannot sign up for the same event again.
- You get a notification about every sign-up, approval request and waiting list sign-up.
Frequently asked questions
Does the guest know their position on the waiting list?
We do not show the position on the list. Spots freed by cancellations go in turn to the people who have been waiting longest.
Can I change the spot limit after publishing?
Yes, in the event edit. Increasing the limit immediately moves people up from the waiting list.
Can a co-organiser approve guests?
No. Approving, rejecting and promoting from the list are reserved for the event creator.
